WhatsApp template: air conditioning instructions

Air conditioning is the second most frequent operational issue in summer (after Wi-Fi): in 1 of 4 cases the guest writes because they don't know how to turn it on, set temperature, or thinks it's not working. A clear template eliminates these requests and improves perceived comfort. Here three variants: classic remote, smart AC with app, troubleshooting for AC not starting.

When to send

When to send: in direct reply to 'how does the AC work?' requests. In summer (June-September), consider proactively sending it with the check-in message.

1Standard remote

Hi {{guest_name}}, quick instructions for air conditioning.

❄️ Remote: located {{remote_location}} (on living room table / next to bed / in drawer under TV).

Basic functions:
• Power button (ON/OFF) to turn on/off
• "Mode" → select cool (❄️ icon) or heat (☀️ icon)
• "Temp" → up/down arrow to set temperature (suggest 24°C in summer, 20°C in winter)
• "Fan" → fan speed (low/medium/high)

💡 To turn off before going out: press power. The unit remembers last setting.

If it doesn't start: change remote batteries (in kitchen drawer). If still not working, message me.

2Smart-AC (app/voice)

Hi {{guest_name}}, the AC is smart, controllable in two ways.

📱 App: download "{{app_name}}" (free, App Store / Google Play). On opening enter guest code: {{app_code}}. From there control temperature, mode, timer.

🗣️ Voice (if available): AC is connected to the Alexa/Google Home in the apartment, you can say "Alexa, turn on AC" or "set 22 degrees".

🔘 Traditional backup: classic remote in drawer under TV. Works normally as standard AC.

Configuration is already done — nothing to pair. App auto-deactivates at check-out (next guest gets new code).

3Troubleshooting won't start

Hi {{guest_name}}, let's see why the AC isn't starting.

Quick checks:

1️⃣ Remote: change batteries (in kitchen drawer). Dead batteries are 70% of cases.

2️⃣ House switch: in the electrical cabinet near the door, there's a dedicated 'AC' or 'Climate' switch. Check it's ON.

3️⃣ Right mode: the remote has different modes (auto / cool / fan / dehumidifier). To cool, cool mode (blue ❄️ icon).

4️⃣ Temperature below room temp: if you set 26° and it's 28° outside, it starts. If you set 26° and apartment is 23°, it doesn't start (normal).

5️⃣ Machine restart: cut power at main switch for 30 seconds, reactivate, retry from remote.

Practical tips

  • 1AC is the most expensive system to manage in summer. Good initial instructions prevent 4-5 follow-up messages per guest.
  • 2Always specify recommended temperature: '24°C' is better than 'a comfortable value'. Prevents guest from setting 18° (massive energy consumption) or 28° (then complains about heat).
  • 3If you have different systems (split per room vs centralized), explain clearly. Guest doesn't know by default.

Frequently asked questions

Should I limit AC use to control costs?+

Only if you manage apartments with electric costs included in price. In that case, indicate consumption ceiling (e.g. 'recommend max 8 hours/day'). Never block it: ruins experience and generates terrible reviews. If costs really matter, raise rent in high season.

What if AC makes excessive noise?+

Verify with guest ('a constant hum or a tick?'). Hum = normal. Tick or mechanical noises = problem, send a technician. Typically dirty filters (periodic cleaning every 6 months) or low refrigerant.

Can I lock thermostat to a minimum temperature?+

Yes with smart AC, no with classic remote. On smart AC you configure range, e.g. 20-26°C. Below 20° the machine refuses. However, we discourage it: guests can perceive it as restrictive.
